Purpose of the Job

We’re looking for a detail-oriented PA/Executive Assistant who can efficiently manage appointments, schedules, and confidential information while adapting to the Director’s preferences and organizational goals. The ideal candidate will be proactive in anticipating issues, communicating effectively, and maintaining professionalism.

Primary Responsibilities

  • Maintain and organize files and records, ensuring all documents are easily accessible and up-to-date.
  • Plan and manage the Director’s appointments, schedules, and meetings, and travel arrangements.
  • Assist in the preparation of R&D department meetings, including agendas, minutes of meeting, and follow-up actions.
  • Act as the primary point of contact for internal and external stakeholders, including clients, partners, and vendors.
  • Facilitate effective communication between the R&D director and other team members.
  • Assist in preparing project documentation, including proposals, progress reports, and presentations.

Secondary Responsibilities

  • Anticipate potential issues and address them proactively to prevent problems.
  • Identify high-priority tasks and deadlines, ensuring critical items are addressed first.
  • Communicate with various stakeholders on behalf of the Director, adapting communication styles as needed.

Financial Responsibilities

  • Track and manage the executive’s business and personal expenses
  • Assist in creating and monitoring budgets for events, travel, and other personal projects.
  • Manage and track budgetary allocations for specific tasks or projects as assigned.
Interaction With Patrons And Public Clients, Vendors, Guests, Media Representatives,etc.

Working Conditions and Environment

  • Work Mode: In Office.
  • Employment Type: : Full-time, Permanent
  • Working Hours: 9:00 AM - 6:00 PM, with occasional extended hours as needed.
  • Working Days: Monday- Saturday (Sunday fixed off)

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Minimum of 1 year of experience in a similar type of role.
